Safety Policy

Cultivating Respect, Integrity, and Excellence in Every Move.

Introduction

SIMBA Trainers is committed to ensuring the safety and well-being of all participants in our programs. This Safety Policy outlines the measures we take to protect individuals, especially minors, and maintain a secure environment in our lessons, training sessions, and events.

Safety Measures

  1. Background Checks:
    • All staff, volunteers, and any adults associated with SIMBA Trainers undergo thorough background checks, including criminal record checks and verification against the sex offenders list, to ensure they are suitable to work with minors.
  2. Supervision and Conduct:
    • Lessons, events, and training sessions are supervised by qualified staff members.
    • Staff and volunteers are expected to adhere to professional conduct standards, maintaining clear boundaries and acting in the best interests of participants.
    • Any form of sexual abuse, harassment, or inappropriate behavior will result in immediate action, including possible removal from the academy and notification of appropriate authorities.
  3. Role of the Safety Officer:
    • The Safety Officer at SIMBA Trainers is responsible for overseeing the implementation of our safety protocols, ensuring compliance with safety standards, and serving as a primary point of contact for any safety-related concerns.
    • The current Safety Officer, Mark Bryan, can be contacted at +357 99 250 797. They have completed WCF Advocacy Training, attended Child Protection seminars conducted by the Ministry of Education, and hold a valid First Aid Certificate.
    • This extensive training equips them with the knowledge and skills needed to effectively manage child protection, respond to emergencies, and promote a safe environment for all participants. The Safety Officer works closely with staff, students, and parents to uphold these standards and address any concerns promptly and professionally.
  4. Training with Women in Chess Foundation (WCF):
    • Our academy sends staff/volunteers to receive training from the Women in Chess Foundation (WCF) to become certified advocates. These trained advocates are present at all our events to support a safe, inclusive, and respectful environment for all participants.
    • The WCF-trained advocates play a key role in overseeing safety procedures, assisting in incident resolution, and providing resources to participants and staff as needed.
  5. Emergency Procedures:
    • Emergency Contacts: Emergency contact information for all students is maintained and readily accessible during lessons and events.
    • First Aid: First aid kits are available at all academy locations and events, and select staff members are trained in basic first aid and emergency response.
    • Evacuation Plans: Evacuation plans are established for all venues, with staff trained to guide participants safely in the event of an emergency.

Reporting Safety Concerns

  • How to Report: Concerns related to safety, including sexual abuse, can be reported directly to the Safety Officer or via our anonymous reporting form.
  • Confidentiality and Response: Reports are handled confidentially, with appropriate investigations and actions taken based on the findings.

Commitment to Continuous Improvement

  • SIMBA Trainers is dedicated to regularly reviewing and updating our safety measures to reflect best practices and ensure the highest standards of protection for all participants.

Acknowledgment

All participants, parents, and staff are required to acknowledge and accept this Safety Policy as part of their involvement with SIMBA Trainers. This commitment ensures we uphold a secure and positive environment for everyone.
